Setting up your Gmail account in Microsoft Outlook allows you to manage your emails, calendar, and contacts all in one place. Step 1: Prepare Your Gmail Account

Before adding your Gmail account to Outlook, you need to enable IMAP access and allow Outlook to connect to Gmail.

  1. Enable IMAP in Gmail:

    • Open your Gmail inbox in a browser.

    • Click the gear icon ⚙️ in the top right and select See all settings.

    • Go to the Forwarding and POP/IMAP tab.

    • In the IMAP Access section, select Enable IMAP.

    • Click Save Changes.

  2. Allow Less Secure Apps or Enable App Password (if 2FA is on):

    • If you have two-step verification (2FA) enabled on your Google account, go to https://myaccount.google.com/security.

    • Under “Signing in to Google”, select App Passwords.

    • Generate a new app password for Outlook and copy it — you’ll use this instead of your regular Gmail password when setting up Outlook.


Step 2: Add Your Gmail Account to Outlook

Now you’re ready to set up Gmail in Outlook.

For Outlook 2016, 2019, 2021, and Microsoft 365:

  1. Open Outlook.

  2. Go to File > Add Account.

  3. Enter your Gmail address and click Connect.

  4. If prompted, enter your Gmail password (or app password if you use 2FA).

  5. Outlook will automatically detect the settings and configure the account.

  6. Once connected, click Done.

If You Prefer Manual Setup:

  1. Go to File > Add Account > Manual Setup or Additional Server Types.

  2. Choose IMAP and click Next.

  3. Enter the following settings:

    • Incoming Mail (IMAP) Server: imap.gmail.com

    • Port: 993

    • Encryption: SSL/TLS

    • Outgoing Mail (SMTP) Server: smtp.gmail.com

    • Port: 587

    • Encryption: STARTTLS

  4. Enter your full Gmail address and app password.

  5. Click Next and wait for Outlook to test the connection.

  6. If everything is correct, click Finish.


Step 3: Verify and Sync

  • Outlook will start syncing your Gmail inbox, folders, and labels.

  • You can customize which folders you want to see in Outlook by adjusting the IMAP settings in Gmail (Settings > Labels).


Tips:

  • Keep your Gmail app password safe. You can revoke or regenerate it anytime from your Google account.

  • To avoid syncing errors, ensure that your Outlook is up to date.

  • If you receive frequent password prompts, double-check your Google security settings.
